As a Merchandise Desk Assistant, you will help with the operation of our merchandise desk during the event. Below are the key responsibilities

As part of the Waste Management & Reset Team, you will maintain the cleanliness and functionality of the takayna Trail event space while also contributing to responsible waste management practices. Venue Reset: Moving Tables, Chairs, and Sweeping: Rearrange furniture and conduct basic cleaning to change or maintain the hall space between events.

Inside Kitchen Clean-Up: Assist in cleaning and maintaining the indoors kitchen area.

Drinks Table Maintenance: Keep the tea/coffee table stocked, the water urns filled and the tables and bins clean for participants.

Vehicle Cleaning: Clean event vehicles, including cars, vans, and other designated transportation, to maintain a tidy and polished appearance. In particular on Sunday after the last survey to ready the cars for rental return.

Interior Cleaning: Pay special attention to cleaning the interiors of the vehicles, removing any trash, debris, or personal belongings left behind by passengers.

Restocking Supplies: Ensure that cleaning supplies, such as cleaning agents, towels, and trash bags, are well-stocked and readily available for the cleaning crew.

Collaborating with Event Staff: Work closely with event organisers and other volunteers to coordinate cleaning schedules and respond to transportation needs.

As the Car Key Manager, you will be entrusted with an essential responsibility during the takayna Trail event – managing the distribution and retrieval of vehicle keys for event transportation. Your meticulous organisational skills and attention to detail will ensure the smooth and efficient operation of the transportation system.Below are the key responsibilities:

Key Distribution: Facilitate the organised distribution of vehicle keys to authorised drivers at the designated times and locations.

Record Keeping: Maintain accurate records of key assignments, noting the names of drivers, vehicle details, and time of key handover.

Key Retrieval: Coordinate the timely return of vehicle keys from drivers after their use, ensuring all keys are accounted for.

Equipment Distribution: Help distribute equipment to site leaders.

Equipment Collection: At the end of events or activities, coordinate the timely collection of equipment from site leaders, making sure all items are returned in good condition.

As an Event Set-Up Assistant, you will play a pivotal role in preparing the venue and necessary resources for the upcoming takayna Trail event. Venue Preparation: Arrive in Waratah on 22nd of February, to assist with the set-up of the event space. This may include arranging seating, installing event banners, and ensuring the overall venue is ready for participants.

Signage Arrangement: Help place directional and informative signage around the campgrounds to guide participants to various activities, workshops, and designated areas.

Equipment Organisation: Assist in organising and preparing equipment for field and venue.

Merchandise Desk Setup: Contribute to the setup of the merchandise desk, arranging displays, setting up the point-of-sale system, and preparing for merchandise sales.

Information Booth Arrangement: Help set up the information booth, ensuring it's well-equipped with event schedules, maps, and other relevant materials for attendees.

As a member of the Event Pack Down Crew, you will play a critical role in ensuring the smooth conclusion of the takayna Trail event by assisting with the dismantling and pack down of event infrastructure. Your commitment to staying until the end and helping with this crucial task will greatly contribute to the success of the overall event. Below are the key responsibilities:

Venue Pack Down: Stay at the event venue until after the end of the event to assist with dismantling event installations, packing equipment, and cleaning up the area.

Collective Effort: Recognise the importance of this role in preventing a few individuals from being burdened with the entire load. Your participation ensures that many hands come together to complete the task efficiently.

Teamwork: Collaborate closely with fellow volunteers and event staff to ensure a coordinated and organised pack down process.

Equipment Handling: Safely handle and store event equipment and materials according to guidelines provided by event organisers.

As a Driver, you will play a vital role in ensuring safe and responsible transportation for the takayna Trail event. Your role involves collecting and returning a Budget Dual-cab 4 x 4 Ute or 12-seater van from Hobart, transporting participants to survey sites, as well as managing the vehicle's refueling and associated logistics. Your commitment to safe driving practices and attention to detail will contribute to the seamless execution of transportation plans. Below are the key responsibilities:

Safe and Responsible Driving: Prioritise safe and responsible driving practices while operating the vehicle, ensuring the safety of passengers, cargo, and other road users.

Vehicle Collection and Return: Collect the designated vehicle (Budget Dual-cab 4 x 4 Ute or 12-seater van) from Hobart and return it to either Hobart or Wynyard as specified.

Valid Driver's License: Present your valid driver's license during vehicle pickup to meet the required documentation. Drivers must also be 25 years or over.

Vehicle Inspection: Conduct a basic inspection of the vehicle at pickup and return, noting any pre-existing damages and ensuring it is in good condition.

Fuel Refueling: Coordinate the refueling of the vehicle after surveys have finished each day, ensuring it is returned with a full tank of fuel to the rental company.

Expense Reimbursement: Keep track of fuel receipts and travel costs associated with the vehicle, as these expenses can be reimbursed by the event organisers.

Transportation Logistics: Utilise the vehicle to transport event-related items, equipment, or participants during the takayna Trail event.

Communication: Maintain clear communication with event organisers regarding vehicle logistics, pickup, return, and any relevant updates.

Vehicle Care:Handle the vehicle with care, ensuring it remains clean and well-maintained throughout its use.

As a volunteer First Aid Provider, you play a vital role in ensuring the safety and well-being of participants during the takayna Trail. Your first aid skill will form a first response service and the required communication to professional emergency services on site. First response to snake bite management, CPR, and basic first aid, is invaluable. Below are the key responsibilities:

Emergency Response: Be prepared to respond promptly to any medical emergencies that occur during the event, including snake bites, exposure and other injuries or illnesses.

Basic First Aid: Administer basic first aid care, such as wound management, bandaging, and providing comfort and reassurance to injured or unwell individuals.

CPR: Perform cardiopulmonary resuscitation (CPR) if necessary.

Snake Bite Management: Bandage snake bites using the provided Snake Bite Kit.

The Resgistration Official is a group of roles required for the complete registration of a runner upon arrival at the event. This team is responisble for ensuring the runners are properly accounted for and prepared for the running event. Registration includes the confirmation participation, distribution information and checking of equipment. Below are the key responsibilities:

Availability: Must be available to start registration 2pm on arrival day, and expecting an increase in registering participants before and after dinner.

Registration desk set up: Taking up positions on a line of registration desks, including runner registration, gear check, drop bag collection, information desk, volunteer registration resk, and preparing desk with correct equipment.

Runner registration role: Runner registration will welcome each runner and check that their details are correct, and provide runners with a description of the registration process and the information desk for finding additional information.

Gear check role: Runners are to carry a complete set of required and emergency items. Two gear check desk are to be set up and marked out for the runner to lay out the complete set of required gear. Runners without a complete set of gear can not compete, however, missing gear is likely available to be sourced from other runners or medical supply stocks.

Communication and coordination: During this busy process, much communication between desks and officials may be required to keep things running smoothly.

Safety: It is important that all participants running the event are properly registered and accounted for, and that last minute registrations are not made without running lead consideration, as last minute registrations can cause administrative, runners may not have adaquate qualification times and hence must be propoerly processed to avoide safty risks.

Drop Bags Handlers are respopnsible for the collection, managment and distribution the runners supply bags. These are small bags that the runners provide, and then require access to for necesary supplies at the Ultra mid-way Marshal point and at the finish line. Drop Bag Handlers will be required to ensure that Drop Bags are coordinated for all runners until the completion of the running event. Below are the key responsibilities:

Availability: Must be available to start registration 2pm on arrival day.

Drop Bag registration desk set up: Taking up position on a registration desk.

Collection: Drop bags are to be provided as a seperate stage of the registration desk for the event.

Catagorising: Correctly marking names and events on bags sorting into the Ultra event's mid-trail bag, and an optional finish line bag, and shorter events optional finish line bag.

Weight check: Drop bags are normally expected to weigh less than 0.5kg. Final collection: Runners may place drop bags on the table after registration and before the event, requiring colleciton and correct sorting.

Distribution and stationing: Being on site to provide drop bags at the Ultra event's Mid run Marshal point, and at the finish line.

The Running Sweep is a critical role during races, marathons, or similar running events. This team is responsible for ensuring the safety and well-being of all participants by following the race route behind the runners. The Running Sweep ensures that no participants are left behind, assists with any medical emergencies, and indicates the race's progress or completion. Below are the key responsibilities:

Safety Monitoring: Continuously monitor the race route behind the runners to ensure the well-being of all participants.

Communication: Communicate with Marshals to provide updates on the location and progress of the race, or use satellite phone to call officials.

Support Struggling Runners: Assist participants who may be experiencing difficulties, such as injuries, exhaustion, or dehydration.

Course Cleanup: Remove track marker tags (Full ultra sweeps only)

First Aid: Be prepared to administer basic first aid and call for professional medical assistance if needed.

Knowledge of Route: Familiarity with the race route to guide participants accurately.

Ensure No Participants Left Behind: Ensure that no runners are left unattended or off-course and help them rejoin the race.

Traffic Marshals are responsible for managing and directing vehicular traffic for people arriving at the event. They ensure the safe and efficient flow of vehicles, including guiding attendees to designated parking, camping and staffing areas. Traffic Marshals will also place road signage out during the main event. Below are the key responsibilities:

Welcome: A friendy welcome and some information of where to park and where to enter the shed.

Traffic Control: Manage and direct traffic arriving at event to prevent congestion and provide site information.

Parking Coordination: Assist attendees in finding appropriate parking spots and ensure parking areas are well-organised.

Safety: Prioritise the safety of event attendees and staff by slowing traffic on site.

Venue Signage: Set up and maintain traffic signage and barriers that indicate staff, parking, car camping and tent camping areas.

Event Signage: Deply provided signage at indicated location on day of the run.

The Course Marshals plays a vital role in managing and ensuring the smooth and safe progression of participants through the course during running events. They provide direction, snacks and drinks, updates, well-being checks and encouragement to runners, helping them navigate the course accurately and addressing any issues that may arise during the race.Below are the key responsibilities

Tracking runners: Check-off the each runner from a list as they progress through the marshal point.

Course Direction: Guide runners along the designated racecourse at key crossing, ensuring they follow the correct route.

Safety Monitoring: Check runners basic health and decide if a runner is unfit to continue, and be aware of changes to the local environment to communicate hazards such as extreme weather or smoke.

Assist with Medical Emergencies: Be prepared to engadge a first aider aid and call for professional medical assistance in case of injuries or medical emergencies.

Communication: Maintain effective communication with race organisers and officials to provide updates on the race's progress and any issues encountered on the course.

Course Cleanliness: Ensure the remove all rubbish from you local area before leaving.

The Course Marshall plays a pivotal role in ensuring the race runs smoothly, participants stay safe, and everyone has a positive and rewarding experience.

The Timing Official is responsible for accurately recording and managing the results of participants finishing the running events. They play a crucial role in ensuring fair competition, tracking race times, and providing timely and accurate results to participants and event organisers. Below are the key responsibilities

Timing Setup: Set up and calibrate timing equipment, such as electronic timing systems or manual timing devices, before the race begins.

Race Start: Double check the race start times and ensure properly recorded.

Finish line: Using binoculars, check participants race numbers on bibs, followed by accurate recording of crossing finish line, to ensure they are properly recorded.

Data Entry: Enter timing data into the event's timing software or system in real-time.

Result Compilation: Compile and verify race results digitally, ensuring accuracy and consistency.

Results Display: Display and communicate race results on a large whiteboard.

Dispute Resolution: Address and resolve any timing-related disputes or discrepancies, as runners may also be tracking their own time.
